Hiring Process

  • Draft the Position Description  

    • Elements of a strong position description:  

      • Job title. 

      • Responsibilities. 

      • Required and preferred qualifications. 

      • Reporting structure.

  • Search Committee: 
    • Select committee members and confirm availability and roles. 
    • Discuss the position description. 
    • Set a timeline for the hiring process. 
    • Student worker supervisors must request Banner access using the "Request Elevated Application Access" form. The Access Request form link is located under the Employee Request Forms section in Jagwire. Banner will be used to confirm GPA and student schedules. 
      • Jagwire > Employee Request Forms > under ITS forms, "Request Elevated Application Access"
  • Job Posting: Student worker positions are posted on Handshake. 
    • You will be asked to include the position description, pay rate, dates of employment, and other details. Please use this guide from Handshake for more details. 
    • You will be able to add your "hiring team" (search committee members) so they are also able to see the submitted applications.
  • Selecting candidates: 
    • The student worker supervisor will develop a matrix that includes the relevant skills outlined in the position description. The search committee will determine the scoring method, such as whether each section is valued at 3 or 5 points and whether scores must be whole numbers. However, scoring procedures must be applied uniformly across all committee members.
    • To save time and cull candidates, you should email Delia Gomez or Joseph Platt who can confirm the student's FWS eligibility.
  • Making an offer: 
    • After all interviews have been completed and each candidate has been scored, the search committee will meet to review the results and discuss the candidates.
    • The student worker supervisor will then verify each candidate’s GPA eligibility and class schedule in Banner. As a reminder, students are not permitted to work during scheduled class hours.
    • Requesting a Work-Study Authorization: The student worker supervisor will fill out the "Request a Work-Study Authorization" form found in Jagwire under the "Employee Request Forms" section. 
      • Jagwire > Employee Request Forms > under Financial Aid, "Request a Work-Study Authorization." 
  • Onboarding
    • PMR > HR > "PMR: Hire Student Worker, graduate assistant, or manual hire"
      • There are required fields such as start date, end date, funding account #. You must also upload the candidates resume, the Handshake posting or the job application, and in the "Attachments" section, a copy of the Federal Work-Study Authorization requested in the previous section. 
      • The PMR will trigger a response from ITS (emailed to the supervisor) asking them to check off what the student worker needs access to. Each department will have their own list of what the student will need access to. For example, the Innovation Lab student worker will need access to "library@tamusa.edu" as well as "libraryinnovationlab@tamusa.edu" whereas Public Services student workers will not need access to the latter. 
    • Card swipe access: Student workers will receive a staff ID (separate from their student ID). The student should work with their supervisor to send a picture of the front and back of their new ID to library administration (jedralin@tamusa.edu) to start the process of card swipe access for the employee areas listed below: 
      • Suite 118 (Public Services)

      • Suite 218 (Collections Services)

      • 314 (Break Room)

      • Suite 322 (Administration)
